One Event, Four Custom Products: How We Managed Design, Production and Shipping
For event buyers, a custom product order is not always simple. Sometimes one event needs several different products at the same time, each with its own material, artwork requirement, production method, and delivery schedule.
Recently, Tyler Event helped a client produce a set of custom party products for an outdoor event. The order included full-wrap stainless steel tumblers, custom printed wooden umbrellas, wristbands, and mesh banners. The event date was close, so every step had to be planned carefully, from artwork checking and production scheduling to quality control and shipping.
The client also wanted part of the order to be delivered to a U.S. address first, then transferred locally to the party location. This helped balance delivery speed and shipping cost while still keeping the event deadline on track.

Project Overview
The client needed several custom products for one outdoor party event:
- Full-wrap stainless steel tumblers
- Custom printed wooden umbrellas
- Wristbands
- Mesh banners
Each item had a different purpose at the event. The tumblers were used as practical drinkware and branded merchandise. The wooden umbrellas helped create a strong visual theme for the outdoor space. The wristbands supported guest access and event identification. The mesh banners helped with outdoor branding and venue decoration.
Because the products were used together at the same event, the designs needed to feel consistent. The colors, patterns, logo placement, and overall style had to match the event theme.
The timeline was also tight. Instead of treating each product as a separate order, we managed them together as one custom event product package.
The Challenge: Four Products, One Fixed Event Date
The biggest challenge was not only producing four different products. It was making sure all of them could be completed, checked, packed, and delivered before the event.
Each product required a different production process.
For the stainless steel tumblers, the client wanted a full-wrap design. This meant the artwork needed to fit around the cup body properly. We had to check color accuracy, print placement, seam alignment, and the final look after the tumbler was assembled with lid and straw.
For the wooden umbrellas, the printing area was much larger. Umbrella artwork needs to be checked carefully because the design appears differently when the umbrella is folded, half-open, and fully opened. The visual effect must work from a distance, especially for outdoor parties and photo areas.
The wristbands had a different role. They needed to be easy to wear, easy to identify, and consistent with the event’s design. For access-control items, quantity, color, and readability are all important.
The mesh banners also had their own requirements. Since they were used outdoors, the material needed to allow airflow while still showing the printed design clearly. The edges and installation details also had to be checked before shipping.
When an event date is fixed, a delay in one product can affect the whole package. That is why production planning had to start immediately after artwork confirmation.
Step 1: Artwork Review and Product Matching
The first step was reviewing the client’s artwork and matching it to each product.
A design that works well on a tumbler may not work the same way on an umbrella or a banner. Different products have different shapes, print areas, materials, and viewing distances. So before production, we checked how the artwork would appear on each item.
For the full-wrap stainless steel tumblers, we reviewed the layout around the cup body and checked the position of the main logo and patterns. The goal was to make sure the design looked complete from different angles and that the full-wrap print would not feel broken or misplaced.
For the wooden umbrellas, we checked the artwork on the umbrella surface and considered how the pattern would look when opened. Since umbrellas are often used in outdoor photos and event scenes, the overall visual impact was important.
For the wristbands, we focused on clarity, color, and practical use. Wristbands are small, so the design must be readable and easy to recognize.
For the mesh banners, we checked the size, print visibility, material choice, and edge finishing. Outdoor banners need to look good, but they also need to be practical for installation.
This artwork review helped reduce production risk before the order moved forward.
Step 2: Production Scheduling for a Rush Order
For a rush order, speed matters, but clear scheduling matters even more.
Because this project included four different custom products, we did not wait for one item to finish before starting the next. Instead, we arranged the production schedule according to each product’s lead time and complexity.
Products with longer production steps were started earlier. Items with simpler processes were arranged in parallel. This helped us save time while still keeping enough room for inspection, packing, and shipping.
During production, we followed up on each product separately:
- Tumbler printing and assembly progress
- Wooden umbrella printing and finishing
- Wristband production and quantity checking
- Mesh banner printing and edge finishing
For event orders, the final delivery date is not flexible. A product arriving after the party has no value to the buyer. That is why we treated the event date as the main planning point and worked backward from the required delivery time.
Step 3: Quality Control Before Shipping
Before shipping, each product was checked based on its own use and quality requirements.
For the stainless steel tumblers, we checked the full-wrap print, color effect, logo position, seam area, lid, straw, and overall appearance. Since the tumblers were a key branded product for the event, the print needed to look clean and consistent across the batch.
For the wooden umbrellas, we checked the umbrella surface, print clarity, opening and closing function, wooden handle, and overall structure. A custom umbrella must not only look good in photos, but also work properly during the event.
For the wristbands, we checked color, quantity, size, and wearing function. Wristbands are small, but mistakes can create problems at the event entrance or guest check-in.
For the mesh banners, we checked print visibility, edge finishing, material condition, and installation details. Outdoor banners need to be ready for quick setup once they arrive.
Quality control is especially important for rush orders. A fast delivery is only useful when the products are correct and ready to use.
Step 4: Shipping Strategy: U.S. Delivery and Local Transfer
Shipping was another important part of this project.
The client had a tight deadline, but also wanted to control freight cost where possible. Instead of shipping every product directly to the final party location, part of the order was first delivered to a U.S. address and then transferred locally to the event destination.
This kind of shipping plan can be useful for event buyers when timing, product volume, and delivery cost all need to be balanced.
For multi-product orders, shipping is not only about sending cartons out. The supplier needs to consider:
- Which products are finished first
- Which products are heavier or bulkier
- Which items are needed earlier
- Whether products can be packed or shipped together
- Whether direct delivery or local transfer is more practical
By coordinating production and shipping together, we helped the client keep the order moving while reducing unnecessary last-minute pressure.
Final Result: Delivered on Time for the Event
The full custom product package was completed and shipped according to the client’s timeline. The products arrived at the client’s address on time and were ready for the outdoor party event.
The final setup included custom stainless steel tumblers, printed wooden umbrellas, wristbands, and mesh banners. Together, these products helped create a consistent event look across drinkware, guest identification, shade/display items, and outdoor branding.

What Event Buyers Can Learn from This Project
This project shows that planning is critical when an event needs multiple custom products.
First, artwork should be confirmed as early as possible. Different products need different artwork adjustments, and full-wrap printing, large-format umbrella printing, and outdoor banners all require careful checking before production.
Second, the supplier should know the real event date, not only the preferred delivery date. This helps the supplier plan production, inspection, packing, and shipping more realistically.
Third, not every product needs the same production or shipping method. For multi-product orders, a flexible plan can help balance speed, cost, and risk.
Fourth, U.S. delivery plus local transfer can sometimes be a practical option for event buyers. It may help control shipping cost or simplify final delivery, depending on the order size and timeline.
